Welcome to Lehigh! We’re glad you’re joining the Lehigh community. This site provides forms and resources you’ll need to get started at the University. This includes paperwork that must be completed before your first day as well as additional information you will need moving forward. Onboarding is the way we welcome and acclimate you into Lehigh’s culture. Before you arrive

Background Checks

Each employee of the University must undergo required background checks and clearances in order to comply with Pennsylvania law and the Protection of Minors Policy.  The Provost Office will order background checks for faculty, including initial hire background checks and each five (5) year renewal background checks. Both the PATCH and Child Abuse Clearance are to be completed online. The Child Abuse Clearance will require that you provide previous names, addresses and household members you have lived with since 1975. This information must be provided to the best of your knowledge. It’s a good idea to assemble this information ahead of time.

As you onboard, you will receive three (3) emails containing information on how to complete your background checks.  These are valid requests, so please be on the lookout for them . 

  1. The first email will be from Lehigh’s background check vendor, CBY (automation@instascreen.net) with a link to initiate the Pennsylvania Access To Criminal History (PATCH) process. When you receive the email, please do not delay in providing the requested information. If you do not initiate the process within two weeks of receipt of the email, the link will be de-activated and a new link will need to be issued. If you do not have a Social Security Number, please enter 111111111. If you do not have a driver's license, please enter N/A.

  2. You will receive a second email from CBY. This email will have instructions and a payment code for the Child Abuse Clearance.  

  1. The FBI check will require you to go to an Identogo location to be fingerprinted.  You will receive an email from Identogo (nobody@uemail.identogo.com) with your payment code and appointment date.  You can reschedule your appointment for a later date by clicking on the “Schedule or Manage Appointment” link at the bottom of the confirmation email.  A web page will open, auto populate with your UE ID and will ask you to provide your date of birth. Enter your date of birth, then click submit.  On the next page click on the "Reschedule Appointment" button.  You'll see a box labeled:  Search for an Enrollment Center by Postal Code, City and State, or Airport Code.  If you prefer to be fingerprinted on campus at the Parking Services Office, enter SP-LHV. This will bring up Lehigh's private fingerprinting site; otherwise enter your zip code and this will assign you to the closest location. Please note appointments are required for fingerprinting- walk-ins will not be accommodated.
     

After your fingerprints have been submitted, you will receive an email from PASafeCheck (status@dev.pasafecheck.identogo.com) with instructions to download an Unofficial FBI Clearance. The link is only available for you to access one time. Do not access the link from a mobile phone, use a device that will allow you to download the clearance document. You will be asked to log in using a security question. The answer (in all lowercase) is:  cby

Lehigh will receive your completed PATCH and Child Abuse Clearance checks from our background check vendor CBY.  The only document we will not receive is your FBI Clearance.  Once you receive your FBI Clearance in the mail, please forward the original document to the Provost Office.  We cannot  accept copies, it must be the original document.

 
W-4 Form Completion

Complete your W-4 form so that we can withhold the correct federal income tax from your pay. If you are a resident of a state other than Pennsylvania please contact the Payroll Department directly to obtain additional forms.  Payroll can be reached at 610-758-3150.

Act 32

The Commonwealth of Pennsylvania has a mandatory local tax act known as Act 32. Act 32 requires uniform withholding of earned income taxes. All Pennsylvania employers are required to withhold earned income taxes from our employees based on the higher of:

(1) the employee’s total resident earned income tax rate; or

(2) the employer’s municipal non-resident earned income tax rate.

I9 Form Completion

The I-9 Form is required for verifying the identity and employment authorization of individuals hired for employment in the United States. All U.S. employers must ensure proper completion of the I-9 Form for each individual they hire for employment in the United States. An appointment with Human Resources is required to complete the I-9. Please use this link to access the calendar to schedule an appointment for I9 Verification.

You must complete and sign Section 1 by your first day of employment; the US Government requires the form be completed no later than your third day of employment.

Please go to the website https://www.uscis.gov/sites/default/files/document/forms/i-9-paper-version.pdf and complete the first section of the online Form I-9 (PDF, 899.28 KB).  See the instructions on page 3 of the I-9 Form for the appropriate Identification Documents you must bring to your appointment for verification. Please bring the original documents of each form, copies cannot be accepted. For those of you who do not have a social security number, you can leave that field blank.

Items to bring with you to your appointment:

- Section 1 of your I-9 Form completed

- Original identification documents, one from List A OR a COMBINATION of List B and List C (we cannot accept copies)

- Please be prepared to provide your start date as it is needed to complete Section 2 of the I-9.

Accessing your Lehigh University Computing Account and Email

To access your Lehigh University (LU) computing account visit our new account site and enter the email address you entered below your signature on your offer letter. Your username will display on the screen and you will receive a temporary password at the email address that you entered.   Please note it may take up to 72 hours for the system to be ready to create the email for you.

With your username and temporary password please navigate  to https://accounts.lehigh.edu/change to change your password and complete your account set up.  With this account you will be able to access your Lehigh email address which will match the format username@lehigh.edu

Confirm your Personal Information, Lehigh Identification Number and Direct Deposit

Once your I-9 is completed, and you have your Lehigh log in, go to your Profile to review your personal information to ensure accuracy.  This is where you will find your Lehigh Identification Number (LIN).  It will be located under your name on the left hand side of the screen.  It is important to complete all the information under the “Personal Information” section, including the Emergency Contact and Additional Details. 

This is also the location where you can set up your Direct Deposit Allocation.   To avoid any payroll delays, complete this no later than your first day of employment. 

 

 

 
University ID Card - Photo Submission Information

Your ID card identifies you as a member of the Lehigh University community.

  • Please do not leave the card in direct sunlight, near heat sources or in contact with magnetic fields.

  • Please DO NOT punch holes in your ID Card.

  • You must submit a photo of yourself in advance, to be used on your ID card. The picture must be a color head-and-shoulders photograph of you facing the camera with a plain background. 

  • We cannot accept photos where you are wearing sunglasses, hats or anything that would make it difficult to determine your identity.

  • We reserve the right to refuse any photo, due to poor quality, unacceptable content or other variables.

Please email your photo as a .jpg file to inideal@lehigh.edu prior to your arrival on campus (please label your photo file with your name or LIN, if known). Recommended picture size is a minimum of 400 x 400 pixels, and a maximum of 800 x 800 pixels. Please bring another form of photo identification (driver’s license, passport, etc) with you to the ID Office when attempting to pick up your ID card. Obtain your Parking Permit

A parking permit is required to park on campus. Please click on “Get Permits” under the Permits tab.  You will use your Lehigh Login under the student/staff section.  Your I-9 must be completed before purchasing a parking permit.

Confirm your Arrival Details

Before you arrive on campus, be sure to confirm with your Department Chair the date, time of arrival and location you are to report to on your first day.

Benefits Orientation and Faculty Benefit Guide

Make sure to attend your scheduled benefits orientation. Once you have attended, you’ll need to complete and submit your enrollment forms as soon as possible. Click here for more information or contact the HR Department at 610-758-3900.

Review our Faculty Benefit Guide. The purpose of these guides is to familiarize you with the procedures, benefits, rights and responsibilities that go along with working at Lehigh. The guides are a resource to turn to if you have questions, however they are not intended to be full statements of policies or benefits provided by the University.

Harassment training - Required

At Lehigh, we take the health, safety and well-being of our students, faculty and staff very seriously.  Every individual on our campus has a shared responsibility for contributing to a culture of respect, and acts of hostility or harassment based on age, color, disability, gender identity or expression, genetic information, marital or familial status, national or ethnic origin, race, religion, sex, sexual orientation, or veteran status are not acceptable. They are fundamentally inconsistent with the values of this University.

All current and newly hired faculty are required to complete two online training programs each year.  One training program focuses on harassment and the other focuses on working with minors.  These programs can help each of us understand these complex issues in a more substantive way.  

It is our expectation that you will complete these 30- to 45-minute online training courses within your first 30 days of employment.

Become Familiar with Lehigh’s Campus

Whether you're heading out for lunch or on your way to a meeting, take some time to enjoy our campus. The LU campus map provides a fast and convenient way to search for—and navigate to or from—any of the hundreds of offices, departments, facilities and venues located on the university's three contiguous campuses. 

You can also access the LU campus map via the Lehigh University app. This app will also connect you to Lehigh social media, news, events, a staff/building directory and emergency information. The Lehigh University app is available through the Google Play or iOS App store.

Stuck inside but still want to explore?  You can still take a virtual tour of the campus.

Another virtual tour option is to take the Lehigh Augmented Reality (AR) Tour for New Employees. Watch Asa Packer, our founder, come to life as he introduces himself and what to expect on the tour. You will receive an overview of campus, on and off campus dining options, professional development information and a drone tour. The AR Tour is specifically best viewed on a mobile device and requires the free app Blippar (instructions included in the tour).
